In our final article in this series on the importance of productivity in the workplace, we will look at common productivity challenges in the workplace and how to overcome them.

Previously we explored the importance of productivity in the workplace,  took a look at factors affecting productivity in the workplace and highlighted a number of strategies that can be used to improve productivity in the workplace.

 

Procrastination

Procrastination is something that many people struggle with and it can play a significant part in reducing productivity in the workplace. Overcoming procrastination requires proactive strategies and mindset shifts. For example it can be productively beneficial to break down tasks into smaller, more manageable steps, prioritise tasks, set a a schedule and set deadlines,  and for many the use a timer to stay focused has increased productivity. Burnout

Burnout can be a problem that people encounter that can lead to decreased productivity at work. To avoid it, prioritize self-care, take regular breaks, and establish a healthy work-life balance. Harvard Business Review have laid out 4 strategies to beat burnout.

Multitasking

Multitasking can often be a factor in decreased productivity and increased stress. Strategies you can employ to help are to prioritize tasks, focus on one task at a time, and minimize distractions. Forbes writes about multitasking that “although it purports to increase efficiency, in most cases, multitasking merely increases busyness while eroding productivity.”

Lack of motivation

Lack of motivation is often cited as a major factor that causes decreased productivity. Successful methods to deal with a lack of motivation include setting clear goals, breaking down tasks into smaller steps, and celebrating progress and achievements! Global talent services expert, Morgan McKinley have explored 9 main components that contribute to employees motivation and conclude that “having a full understanding of what employees want to achieve as individuals, and showing them how to do it, is the main principle that if followed will help to build a strong, engaged and high performing team.”

Poor communication

Poor communication can lead to misunderstandings and decreased productivity. To counter it, employers should always encourage open communication, provide regular feedback, and use collaboration tools. Michael Page insists that “Good communication is an essential tool in achieving productivity and maintaining strong working relationships at all levels of an organisation.”

Technology issues

Technology issues, such as slow computers or software glitches, can slow down productivity. Slow technology comes in many forms, but always has the same characteristics in common. ISACA, a globally recognized leader in IS/IT, says that “Correcting, upgrading, or replacing your slow technology can be both costly and time-consuming, but it’s almost always worth the effort. Not only will your team be able to utilize more resources and work faster, they’ll be happier—and that morale will almost certainly have a positive impact on your business’s profitability.”

Inefficient processes

Inefficient processes can lead to wasted time and decreased productivity. To overcome it, identify inefficiencies, streamline processes, and automate tasks where possible. It can create a positive and enticing working culture which helps to attract and maintain a quality workforce… the bottom line is simple – saving valuable time and resources, resulting in increased productivity.”

Lack of resources

Lack of resources, such as equipment or staff, can also impact productivity. To overcome it, prioritize resources, communicate needs, and explore outsourcing or partnerships. Agon Leadership say that “employees are more productive when they have the right tools and resources to do their job.” and list a number of best practices to combat this.
